If you apply with Digital Power B.V. we will ask you to provide us with certain personal data in order for us to judge and assess your suitability for an open vacancy or internship. In this Privacy Statement for Job Application we would like to inform you how we handle your personal data.

2. For who does this privacy statement apply to?

The Privacy Statement Job Application concerns anyone who applies to an open vacancy at Digital Power.

3. Which personal data do we collect and process?

We process personal data that you have provided to us either directly by yourself, personal data provided to us via a recruitment or employment agency with which you are registered and personal data have been derived from business social media platforms.

We request the following personal data when applying for a job:

  1. Name
  2. Email
  3. Address
  4. Telephone/Mobile Number
  5. CV
  6. Motivation/Cover Letter
  7. Type of employment sought & salary expectations
  8. Names and contact information of referrals
  9. Additional information that you or we might find useful in the application process (such as certificates, diplomas etc.)

Furthermore can we also request information provided on business social media platforms (such as LinkedIn).

We do not collect and use any available information on the Internet that is clearly not of a business nature and that is not necessary or relevant for a vacant position or a student internship.

4. What do we use your personal data for?

The personal data that you provide will be used to assess your suitability for the open vacancy or internship, to verify your information and conduct reference checks as well as to contact you and inform you on further career opportunities.

If you accept an employment contract with Digital Power, the information collected will become part of your employment record and will be used for employment purposes. 

We treat all information with confidentiality.

5. Legal basis of the processing

As a Data Controller, we process your personal data based on the following legal basis, listed in the General Regulation Data Protection (GDPR):

  • If you have given your permission for this
  • If we have a legitimate interest in doing so

Permission

When you apply for a job with us, we ask for your permission to store your personal data up to one year if you were not selected for the position or internship. By submitting your Job Application you are granting your consent to the processing of that information with a view of entering an employment or internship contract to be concluded in accordance to this Privacy Statement. If you have once given your permission, you always have the right to withdraw this consent. You can do this by e-mailing jobs@digital-power.com.

Legitimate interest

We collect and process personal data if there is a legitimate interest from both parties in the job application procedurewith the intention to offer an employment contract. Digital Power is therefore not disproportionate to infringe your privacy. For example, we can collect personal data relevant to the position or internship that is made available on business social media platforms.

6. Who may process your data?

Only selected employees of Digital Power – such as your potential future manager(s) and superiors, employees of the Human Resources Department, and IT (for maintenance purposes only) are allowed to process your personal data on behalf of the job application procedure. These processors are not allowed to process your personal data for their own activities or any other use of purpose.

If the recruitment module on our website is hosted by an external service provider, this means that personal data that you have provided will be send through the recruitment module provided on the servers of this service provider. The external service provider is then a processor with whom Digital Power has an explicit processing agreement with.

7. How long do we store your personal data?

If you join Digital Power after your application or start your student internship with us, we will keep the personal data you provided during the application as part of your employment record up to seven years after your termination of employment or internship. The period of seven years is made mandatory by the Dutch Tax Authorities for fiscal retention obligation. In case you were not selected for the position you applied for, your personal data will be stored up to one year after rejection. However, the data will only be stored if you have provided us with explicitpermission to do so. In case you do not grant permission, we will only store your personal data for a maximum of four weeks after rejection.

8. Sharing personal data with third parties

Digital Power does not and will not share any personal data that you provide us for your application to any third parties, unless we have received explicit permission from you to do so.

If, for example, an assessment or assignment is taken by an external party, we provide this party your personal data only if you have explicitly given consent to this in advance. If you apply through an employment agency or recruitment agency we will provide them with the information about the progress and the result of the application procedure.

9. Data transfer outside the European economic area and European Union (EEA/EU)

Personal data that we collect and use in the context of your job application, will be stored in the Netherlands and not passed on toparties outside the EEA.

10. If you have any questions about your personal data

Based on the legislation basis of the General Data Protection Regulation (GDPR) you have the option to exercise certain rights with regard to your personal data. This gives you the right to inspect, rectify and delete personal data. You can also object to the use of you data or request to limit this use. 11. Complaints

If you have complaints on how we handle and process your personal data, you can contact us by sending an email to jobs@digital-power.com.

12. Amendments

If changes to the Privacy Statement Job Application has been amended during the application process,then the appropriate changes shall only be applicable to the ongoing recruitment procedures. A revised Privacy Statement Job Application shall apply solely torecruitment procedures after the date of reviewing.
